The Commission funded an annual leave buy-back program for 2018 to allow all full-time employees to sell a minimum of 8 hours up to a maximum of 24 hours accrued vacation. According to the PPPM, Section 100.14, employees are required to have a minimum of 75 annual leave hours remaining after the sale. Payment for the sale of vacation hours will be processed and paid in a separate earnings code shown on their regular check or direct deposit remittance on December 21, 2018. This payment is also considered gross wages and will be subject to required withholdings such as FICA, Medicare, Federal and State tax, but will not be subject to retirement withholdings pursuant to plan documents. The gross wages apply to your 2018 taxable income.
Employees can check their accrued vacation balance at the ADP Enterprise eTime Web Site. It is also available at any of the time clocks located at city facilities.
Employees must submit their requests to sell accrued vacation time by the process outlined below:
- All employees must submit the request via the electronic link below on or before 5pm December 13, 2018. You may complete the form on any device that has internet access, including the computer terminals at the Human Resources Office, Monday thru Friday, between the hours of 8:30am and 5:00pm. Further, in an effort to ensure that all timely requests are collected, processed, and reflected in the appropriate paycheck period, all requests received after the deadline above will be considered ineligible.
ELIGIBILITY REQUIREMENT: Eligibility to participate in the Annual Leave Buy-Back program will be based on the employee maintaining 75 hours of annual leave AFTER the leave is sold. (This analysis will occur on December 14, 2018). On December 14, the employee must have 75 hours plus the amount of hours they desire to sell. See the chart below:
